About the job

We are looking for Office manager / Management Assistant to support our colleagues and the management at our International Headquarters in Amsterdam. This role will help to execute activities that support an inclusive environment to all staff, remote or otherwise. From coming up with new and improved processes to rolling up your sleeves and executing, a no job too small mindset is critical. In addition, a key part of this role will be welcoming our guests and keep a proper office. A successful candidate will demonstrate relentless positivity and professionalism, creating a welcoming experience for all. There are a variety of tasks waiting for you to tackle. Responsibilities Management support:

  • Pick up and deliveries of management documents or appointments
  • Support co-workers and identify areas for improvement;
  • Collaborating with all departments, especially with HR and the management team;

Reception:

  • Welcoming our guests. Manage, maintain, and coordinate the office entrance and conference room(s)
  • Pick up, sort and distribute incoming mail daily; prepare and ship outgoing
  • Answer, screen, and transfer all incoming calls

Facility management:

  • Inventory the pantry, and maintain appearance of kitchen area
  • Vendor management, office maintenance, building management (liaise with the landlord, participating in tenant meetings), office decoration, office remodeling, safety (BHV);
  • Manage the inventory office supplies; responsible for purchasing any necessary items

Event management:

  • Assist our Marketing and Communications Manager in planning and executing monthly and quarterly (internal) events
  • Organization of international sales meetings, yearly international company event, XMas party, network events and recruitment events;

Travel management:

  • Make international travel arrangements (hotel bookings, train tickets, flight bookings);

Requirements:

  • Fluent Dutch and English (spoken and written);
  • 2-3 years’ work experience preferably within an office manager role in a comparable and international environment;
  • Excellent oral and written communication skills; ability to communicate effectively to the management, variety of visitors and employees
  • Preferably Hospitality/Start-Up experience
